Inclement Weather Policy & Update

In the Event of a Snow Closure:

We understand the importance of ensuring the safety of our staff and the families we serve during inclement weather. As a guideline for potential closures, we consider the decisions made by local schools, which often reflect current road conditions and overall safety. We advise our customers to check our website or contact us directly for the most up-to-date information regarding our operating status during snow days. Your safety and well-being are our highest priority, and we strive to communicate any changes promptly and clearly. If there is inclement weather please check our website or Facebook page for the most up-to-date information about delays or closings.

If Charles County Public Schools are delayed, then we will OPEN at our usual time. If they are closed for the day due to weather or close early please check your email and text before coming to class. 

Birthday Parties:
We monitor weather conditions closely and wait until snow is visibly present before making any decisions. This is because weather forecasts can often change, and predicted snow may not materialize. Once snow begins, we will contact the party host to discuss options. The final decision—whether to proceed, reschedule, or cancel—will be made in consultation with the host.

If the Party Proceeds:
If a team member is available, can safely, and feel comfortable commuting, and the host chooses to proceed with the party despite the snow, the party will go on as scheduled.

Rescheduling:
If the host decides to reschedule due to snow, the $75 rescheduling fee will be waived.

Cancellation:
If the host decides to cancel the party entirely, the non-refundable deposit remains non-refundable. However, as a courtesy:
The non-refundable deposit amount will be credited to the host’s account for use toward membership, classes, and special events used within six months.

Exceptions to Standard Policies:
Normally, full payment is due if a party is not canceled or rescheduled at least three weeks in advance. However, in the event of snow, we will not require full payment beyond the deposit if the party is canceled.

Cancellation Based on Weather Predictions:

  • If a party is canceled before snow is visibly present (based solely on a forecast or prediction), our standard cancellation policy will apply:
    Full payment for the party will be required if the cancellation occurs within three weeks of the party date.
  • The non-refundable deposit will not be credited or refunded.

Terms of Use for Credits:

  • Credits issued for the non-refundable deposit can be used only for: membership, classes, and special events.
  • Credits must be used within six months of the original party date and cannot be converted into cash or refunded.

Important Notes:

Decisions regarding party cancellations or rescheduling due to snow are made on a case-by-case basis to ensure the safety of all attendees and staff.

Please notify us promptly once you have made your decision, so we can coordinate accordingly.

Special Events & Kids Night Out:

Monitoring Weather Conditions:
We closely monitor weather forecasts but make final decisions based on actual conditions. If snow begins, we will evaluate whether the event can proceed safely and staff can commute safely.

Communication About Cancellations:

  • If we decide to cancel a special event or Kids’ Night Out
  • We will notify all registered families via text message and phone call as soon as possible.
  • Updates will also be posted on our website and social media pages to ensure widespread communication.

Credit for Canceled Events:

  • If the event is canceled due to snow, families will receive a credit equal to the amount paid for the canceled event.
  • This credit can be applied toward the next Kids’ Night Out or any other eligible event.
  • Credits must be used within three months of the original event date and cannot be transferred to other services or converted into cash.

If the Event Proceeds:
If weather conditions allow and the event proceeds as planned, standard policies will apply. Refunds or credits will not be issued if families choose not to attend.

Rescheduling an Event:
If an event is rescheduled, all registrations will automatically transfer to the new date. Families who cannot attend the rescheduled event will receive a credit toward a future event.
